Business Office

 The purpose of the Business Office of Huston-Tillotson University is to provide those services to the Huston-Tillotson community which assures adequate financial resources to fulfill the mission of the University. Below is the list of personnel positions established within the Business Office to facilitate the fiscal affairs of the University.

 

The Accounts Payable/Payroll Office is responsible for preparing all vendor invoices for payment, maintaining database of vendor information, contractual obligation, and paying all bills of the University including payroll for faculty, staff and students. Duties and responsibilities are to: verify vendor invoices against purchase orders; verify charges and prepare for payment; process properly approved purchase orders and requisitions for funds for mailing to vendors; prepare accounts payable checks twice weekly; communicate with vendors; follow up as needed with University departments when processing their purchase requests; maintain and update vendor listing; process 1099 Forms yearly; process approved new hires, terminations and other actions as required, working in conjunction with the Human Resource Office; and maintain payroll database for all employees and student workers on an automated system.

The Budget Analyst's Office shares responsibility for the day-to-day accounting pertaining to the effective management of budgets, cash flow, and financial reporting. The Budget Analyst manages the Accounts Payable / Payroll Office, Office Manager/Accountant, Fiscal Analyst and some general accounting.

The Bursar’s Office is responsible for administering the disbursement, collection, and receipt of all funds of the university and maintaining custody of student loan and work study checks. Duties are to: receive and receipt all incoming funds; prepare daily deposits; manage deferred payment plan agreements; and disburse loan and work-study checks.

The Business Manager's Office shares responsibility for the day-to-day accounting decisions of the university and the management of Student Accounts/Collections Office, Bursars Office, Central Services Office and some general accounting.

The Central Services' Office is responsible for customer services relating to the duplication of documents, the processing of mail, and property management for the University. Duties are to: sort and distribute mail to faculty/staff and student’s mailboxes; prepare letters and packages for mailing; sell stamps, money orders and special services, i.e., registered, certified, express and priority mail; record and charge respective University departments for postage used; prepare daily postage sales reports for post office; prepare monthly report of postage used by University departments; operate fax machine to send/receive messages for all University departments; receive UPS and FedEx packages; operate  to duplicate requested material from faculty/staff. Operate binding machine. Maintain accurate accounts of all reproduction requested by departments. Maintain accurate inventory of related supplies and reorder as needed. Prepare monthly report of duplicating charges per department. Receive and tag new purchases in cooperation with Business Office Personnel. Perform periodic inventories of University assets as required. Perform periodic physical inventory at least semi-annually.

The Fiscal Analyst's Office is responsible for the accounting and managing of the restricted accounts of the University, including grants and special projects. Duties are to: manage all restricted and federal funds; maintain contact with grant agencies to coordinate reporting efforts on the University’s behalf; prepare necessary audit schedules and analyses pertaining to restricted funds as directed; and issue monthly financial reports and periodic reports of all restricted and federal funds.

The Office Manager/Accountant's Office/Payroll  is responsible for assisting the Vice President for Administration and Finance with the administration of the Business Office and other departments with in the A&F Unit, assisting in maintaining general ledgers for multiple funds and assisting in the timely release of monthly financial statements. Duties are to: manage procedures for the management of the unit, prepare correspondence, receive and screen telephone calls, collect and distribute mail, maintain unit calendar, review, prepare and data enter journal entries, monitor employee subsidiary accounts for compliance and reconcile all bank accounts monthly.

The Student Accounts/Collection's Office is responsible for student receivables, including the areas of credit and collection, billing, cashiering, and receivables data processing. Duties are to: communicate as the Universities liaison with students and parents on the issues of managing and collecting on student accounts; ensure accurate reporting of student account transactions; collect on past due accounts of ex-students; coordinate the Business Office component of registration; and process 1098 T’s yearly.
